AI Phone Receptionist for Business: What It Should Actually Handle

Begin with the jobs callers need done
Separate routine information, customer requests and conversations that need a person. Opening hours may be answered directly. A service inquiry may need a callback. A requested appointment time may need staff review before anyone can confirm it.
Write down common reasons for calling in the language your customers use. A single generic greeting cannot define what the receptionist is allowed to do for each request.
Build an approved knowledge boundary
Give the receptionist current hours, service descriptions, location information and policies. Decide how changes will be reviewed. An answer that was correct last month can become misleading after hours or services change.
For questions outside that knowledge, the appropriate outcome is a recorded question or a human transfer. Do not use a polished voice as a substitute for an approved answer.

Capture information that helps the next person
A useful request contains a name, reachable contact details, the caller's reason and the next step they want. For appointment intake, add the requested service and preferred date/time. Avoid unnecessary fields that do not change the follow-up.
For example, a caller asking about a consultation needs a reviewable request, not a generic note saying 'called about services.' The receiving team should know what to discuss without asking the customer to start again.
Separate transfers, callbacks and bookings
A transfer means the call is being routed to a person under configured rules. A callback means the team still needs to contact the caller. An appointment request means a preferred time was collected, not that availability has been approved.

Review the evidence after a test call
