Answer office questions from approved information
Callers often need opening hours, directions, an overview of services or the next step for a new-patient inquiry. An AI receptionist for dental clinics should use information approved by the practice and transfer questions that need staff judgment.

Capture an appointment request without promising a slot
The caller's name, contact number, reason for the request and preferred date/time give reception a useful starting point. The request is saved in private client activity for review. It is not a confirmed appointment.
A patient asking about a first consultation and an existing patient requesting a different visit time may need different follow-up. Staff can review the context before contacting the patient.
After-hours calls still need an owner
Outside configured staff-transfer hours, collect callback details and the requested visit time instead of leaving an ambiguous message. Assign a person or role to review new requests when the team is available.
The intake should not promise a callback deadline that the practice has not defined. Clinical or urgent concerns must follow the practice's approved instructions rather than an invented triage process.
Keep patient intake focused
Ask only for information needed to identify the caller and route the request. A public phone conversation is not the place to collect unnecessary medical history. Review the intake questions with the practice before launch.

Give reception a private follow-up view

Does CallPilot replace clinical advice?
No. It handles approved office information and intake. Clinical questions follow the practice's own staff and escalation instructions.
Is a requested time automatically booked?
No. Staff review the request and confirm or adjust the appointment with the patient. A request must not be presented as confirmed availability.
Can the practice choose when calls transfer?
Transfer destinations and hours are configured for the business. Outside those hours, the workflow can collect a callback request.
