INDUSTRY SOLUTIONS

Capture the next appointment request without interrupting the current guest.

CallPilot helps salons and spas answer approved service questions and collect appointment preferences. Your team reviews the request and confirms the right service, staff member and time.

THE WORKFLOW

A clear path to the next step.

  1. 01Customer Calls
  2. 02Service Requested
  3. 03Preferred Staff / Time
  4. 04Appointment Request
  5. 05Client Activity
  6. 06Staff Confirmation

Start with the service the guest actually wants

Service names, consultation needs and preparation questions vary across salons and spas. Configure CallPilot with your approved service information so callers receive relevant answers and the team receives useful requests.

For a question outside that information, a staff conversation is the next step. Intake should not invent a treatment recommendation or a service duration.

Record preferences without treating them as availability

A preferred stylist and an afternoon time window belong in the request. They do not guarantee that the person or time is available. Staff review the service requirements and agree the final appointment with the customer.

This is especially useful when the caller is unsure which service to choose. Capture the question and consultation request so the team can resolve it directly.

After-hours intake with a clear follow-up

Outside configured transfer hours, CallPilot can collect the caller's contact details, requested service and preferred time. The request stays visible for the team to review when staff are available.

Avoid promising a fixed response time unless your business has approved one. A useful confirmation from intake says the request was received and that staff will follow up.

Keep the front desk and service team aligned

Private client activity gives authorized staff access to call summaries, appointment requests and callback needs. The next person reviewing the request can see what was collected and decide whether to contact the guest or route the question internally.

  • Requested service or consultation.
  • Preferred staff member, if provided.
  • Preferred date/time and callback number.
  • Questions that require a personal conversation.

Use the right product for salon intake

CallPilot handles the phone request. SeatPilot is a restaurant reservation product and is not presented as a salon scheduling system.

At a demo, bring a routine appointment request, a service-selection question and an after-hours call. Confirm how staff will review each request before you move to a guided pilot.

A LITTLE MORE CLARITY

Your questions, answered.

Can a guest request a particular stylist?

Their preference can be captured for staff review. The team still checks availability and confirms the appointment.

Is this a confirmed online salon booking?

No. This workflow captures phone appointment requests. It does not claim a calendar reservation or automatic confirmation.

Can calls reach the front desk?

Human transfer workflows are configured around your business hours and destinations. Callback intake provides a next step when staff are unavailable.
